Stock Substitution > New Menu item

A new menu item called Stock Substitution has been created giving sites the ability to easily set up Product Substitutions. 

Users should note that:

  • a Product can only have one substitution record. 
  • a Product can not substitute itself. 
  • if provided, Bias Qty must be a positive value.

On searching, users can key in either the Product, or the Substitute Product, in order to find records. A \ backslash search prefix will use the Global Search parameters to return a record or evoke the Index Form to return multiple records.

The Start and End Date fields can have values entered to restrict the substitution action or be left blank which will activate within the system immediately.

In support of the new Stock Substitution functionality,  the System will now check when an Invoice / Mail Order is processed. Support has been put in place for the following:

Invoicing System 

When the Product has an active substitute which has ‘Auto Sub’ ticked on, then the Product will automatically be substituted and the user will see the below message.

When the Product has an active substitute which has ‘Auto Sub’ ticked off, then the user will be given the option to substitute the Product/ not to substitute / or cancel which will clear the line.

Electronic Orders 

When loading an Electronic Order, the above process will also happen. If the Product is substituted, and the substitute has a ‘Bias Qty’, then the following will also happen to that line:

  • Order quantity will be multiplied by the ‘Bias Qty’
  • Dollar Price, Dollar Discount and/or Dollar Promo will be divided by the ‘Bias Qty’

When an order is set to  Auto Process, the above process will also happen, but only when the ‘Auto Sub’ is ticked on. When the ‘Auto Sub’ is ticked off, the Electronic Order will not be Auto Processed, it will be added to the Electronic Customer Orders queue to be manually processed by an operator.

For those sites using Controlled order functionality, Product replacements/substitutions are not applicable.

Stock Substitution works with all other Product replacements in the following order:

  • If Electronic Order and Product is either not found or non-saleable, then perform Electronic Order Product Replacement
  • otherwise if Product is Discontinued/Clear Out with a replacement Product, then perform replacement ; then perform Stock Substitution checks

Just like Discontinued/Clear Out replacement, Stock Substitution will only go one level down.

Product Maintenance Status Flags

Users will see within Product Maintenance Status Flags a new field called ‘Active Substitution’. If the Product does have an active substitute, the non-editable field ‘Active Substitution’ will be visible showing the Product ID.
