Tips for Healthy, Clean, Uncluttered Systems

TRAINING

First and foremost, any messages that appear need to be read.  Please take the time to stop and read the message, to understand what it is telling you.  Quickly closing messages that appear without reading and understanding them may have detrimental effects on your system.

Record Creation & Maintenance

  • Supply as much information as you can when creating or maintaining records

Product Maintenance

  • Product IDs – Never start product ID’s with the number 0

  • Have a minimum of 4 numbers for Product ID’s.  There are various reasons for this.

  • Product ID’s are only ever used to ensure the product record is unique.  There are plenty of other ways to search for products without the Product ID.

  • Users can use the “-1” feature in Product Maintenance to ‘grab’ the next available product ID without trying to work it out.

Supplier Maintenance

  • Users are unable to use the “-1” feature to grab a new record ID.  Users need to enter a unique number, one that is not currently in use within Supplier Maintenance.  This includes inactive records.  The numbers on these records can’t be re-used.

Groupings

This is things like Customer Groups, Product Groups, Sub Product Groups, Customer or Product Price Groups, Customer or Product Promo Groups (Tradetalk Only) etc.  It can even include User Groups.

  • Keep them as descriptive as possible without being verbose.

  • Keep to a minimum

  • Make it logical

  • Recommended – keep all ID’s unique.  IE Product Group 1, all Sub Groups start with 1.  Product Group 2, all Sub Groups start with 2 etc.

  • All Product Groups MUST contain the Default Sub Group (9999 Default).  There must also exist a default Product Group with it’s own Default Sub Product Group.  The purpose of this is to catch everything that may be missed when grouping.

Security

  • Keep the groups as simple as possible, but be descriptive.  Don’t overcomplicate things.

TECHNICAL

  • Don’t use the Docs directory as a NAS (Network drive).  Only allow the ACR server to store files there.  Move any files that you output from Report Generator or elsewhere to a separate Network Access System.

SOFTWARE

  • If any errors occur, please take the time to stop and read the message.  If you are unsure what it means or what it refers to, then please contact us.

  • When working in ACR, if something appears to not work, please check the “message frame” at the bottom of the screen.  That is the white box along the bottom of the entire length of your ACR window.  It could be that some text appears in this area explaining why you are unable to continue.
