Invoicing System – Invoice Log

An update has been made to the Invoicing and Mail Order Systems. A updated Invoice Log Window for non-quotes has been implemented with the original Invoice log loading for quotes.The new window shows additional information regarding the invoice, as well as giving users the ability to add notes.

As part of the new Invoice Log Window, a new function labelled “Conversations” has been added. “Conversations” acts as an aid to store notes to the Invoice log that can then be used to communicate important information to other operators.

Some examples where this would be useful would be notifying Operators about important information regarding the collection of the goods. Critical updates regarding a customers payment details. Providing a note to why particular stock may have been added or removed.

Entries made to “Conversations” are permanent and are available to anyone that has access to Invoice Statistics > Invoice Log. Additionally, you can add entries to the Invoice Log when you are at the Invoice Entry screen when creating or modifying an existing invoice. When creating/modifying an Invoice, the operator keys in ;CNV or use the new menu option called ‘Add Conversation’ to bring up the entry screen. On completion, the conversation will be stored and be view able from the Invoice Log.

Adding a note to the Conversation Invoice Log can not be used in the following places:

  • Back Order Invoice
  • C-Bill Order Creation (Creating the Invoice on the members end)
  • Turn-in Order
  • Quotes

Additionally, when you are at the Modify Invoice Window, you can use ;LOG to view the current entries in the Conversation and also view the Invoice Log.
