When searching for a product throughout the system with the exception of Point of Sale (if configured), users will now find searching will happen within the system in one process rather than stopping as results are found.
When the Index screen is required, either the Standard version or the Expanded version will launch (depending on configuration – see New Menu item > Search Configuration & Product – Index > Options > Change My Configuration).
Users can click the image to the left of the keyin field to toggle between the two which re- performs the search. This also means if any Filters and/or Conditions were used in the Expanded version, when switching to the Standard version they will no longer be applied on the results.
The key-in box at the bottom of the screen, will allow the user to perform a new search while within the Index screen. Searches performed in the Index Search screen without a prefix will act as a ? search.
Sorting (Standard and Expanded searches)
- Results displayed in the Product – Index screen can be sorted by selecting the column name, results can be sorted in the opposite order by selecting the column name again.
- The sort used is remembered when bringing up your last search (‘^’ or F9), and when performing a new search within the Index screen (keyin at the bottom of the Index screen).
- New searches done outside of an Index screen will revert back to the default (Sort by ‘Description’ ascending)
- The first field of the highlighted record can be copied using CTRL+C
Expanded Search
Filters
Filter drop down options on the left allow the User to further refine what they are looking for,
- When performing a new search, the Filter selections are cleared
- The Filter options will only include values based on the current search result (prior to applying Filters / Conditions). eg ‘Primary Sup’ will only show the Primary Suppliers for the Products found
- A new option of ‘Unspecified’ may be available for Filters. eg If at least one Product has no Brand, then ‘Unspecified’ can be selected in Brand filter on the left in order for the results to only display products with no Brand
Conditions
Conditions on the left can be configured/set meaning the product must meet the applied condition to be displayed
- Setting a Condition is now stored per User. (Condition only, not its value). The Condition will automatically be set on new searches done outside of the Index screen, when loading the Expanded Index screen.
- When a Condition is stored to be set for new searches, if that Condition has a default value in ‘Search Configuration’, its value will also be set and applied. This means the Index screen can be loaded with no results due to Conditions auto applying. eg
- ‘Search Configuration’ – ‘Search Condition’ – ‘Available Company Wide’ with a Default of True. The user previously selected the Condition ‘Available Company Wide’, and this was stored for future searches.
- User starts a new search using /HAMMER
- Site is configured to load the Expanded Index (or Last Used and the last Index used by the User is the Expanded Index)
- The search is first performed without the Conditions and finds 20 Products.
- The Expanded Index screen loads, the Condition ‘Available Company Wide’ is automatically set, and the default value is also set.
- If there is no free stock for all 20 Products, this then results in no Products found. At this stage, the Index screen is loaded with no results. Users can then change the Condition value if desired
- If instead there is no free stock for 19 of the Products, this then results in one Product found. At this stage, the Index screen is loaded with one result. It will not automatically select it. Users can then change the Condition value if desired
- In other words, the Expanded Index screen can load with one result, and even with no results, if the search without the applied default Condition value would return a result
Whilst the conditions are mostly self explanatory, please note the following:
- ‘Available in My Stock Area’ refers to Free Stock in the Stock Area configured within Port Parameters
- ‘Available Company Wide’ refers to Free Stock in any Stock Area
- ‘Due in Today, Due in by Tomorrow’ etc refers to the Product Next Order Date
- ‘Serial Tracked’ refers to status ‘Serial Recorded’ is ‘Full Tracking’
- ‘Suppliable in 1 Business Day’, ‘Suppliable in 2 Business Days’ etc the logic is as follows – When set to True, Products displayed will have at least one of the below as True. When set to False, Products that have all of the below as False.
- Free Stock in any Stock Area
- Product Next Order Date within date frame
- Primary Supplier Lead Period within date frame
Last Search
If Users use short key functions ‘^’ or F9 it will invoke the Last Index Screen, within the following conditions:
- Only shows previous search when performed in the same menu screen
- A blank Index form will show if no previous search was performed and / or performed in a different menu screen
- If a last search used Filters/ Conditions and a Standard layout is loaded these won’t be applied.
- When viewing the last search and it was an ‘Advanced Search’, the qualifier screen will not reload but the results from the previous qualifiers will.
