Sending Email: The Rules Have Changed

Over time the rules and best practices that govern I.T. services change, improving security, efficiency and effectiveness of the service. The service we are talking about today is Simple Mail Transfer Protocol (SMTP), which is the way Email is delivered. Complying with industry standards will help ensure reliable email delivery and protect the reputation of your brand.

What has changed? 

To prevent abuse of email systems (Spam, bullying and other inappropriate emails), most major email providers have increased security. Two of the major email providers (Google and Microsoft) are starting to enforce those changes.

The main change has been in the Authenticity of emails. This basically means that emails should not be delivered if the sending email server has not approved the sender.

What do we need to do – SMTP AUTH?

Every ACR server is configured to send emails to customers, suppliers and other parties when necessary. There are settings on the server that the ACR Technical Team maintain. The way ACR implements the industry best practice is to provide a valid “Username and Password” to access your email providers SMTP server.

If it necessary to make a change, The ACR Tech Team will be in touch with you to get the details that are necessary to make the change. You may need the assistance of your local Technical Support to get the information needed.

Recommended – SPF record.

To prevent other email delivery issues, we recommend implementing the Sender Policy Framework (SPF) for your domain ( ie techstaff@acr.com.au ). This means adding settings on your Domain Name System (DNS) host to show which SMTP servers are permitted to send email on behalf of your domain.
